Missing Data Because of Team Context

Use this guide when a record, dashboard metric, list item, board card, or filter result appears to be missing.

Common symptoms

  • a newly created item does not appear in list view
  • a board does not show an item you expect to see
  • a dashboard metric looks lower than expected
  • an approval, issue, or request appears for one teammate but not another

Most likely cause

The current team in the top header is different from the team scope used when the item was created or filtered.

Steps to troubleshoot

  1. Check the team shown in the top header.
  2. Switch to the team you expected to be using.
  3. Refresh the current page.
  4. Re-run the same search or filter.
  5. Open the item create or detail page and confirm the stored team value.
  6. If the page supports organization-wide views, test the same lookup without a team filter.
  7. If the item is still missing, confirm whether the entity is team-scoped or organization-scoped in your setup.

  • use clear team ownership rules for team-scoped entities
  • review dashboard and list filters after switching teams
